Established in 1951, IOM is a Related Organization of the United Nations, and as the leading
UN agency in the field of migration, works closely with governmental, intergovernmental and
non-governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants.
Context:
Under the general and direct supervision of the Head of Commons Services (COS), the successful candidate will support the daily activities of the service in close coordination with units under COS (Mail Office, Printing Unit, Reception and Stock).
Core Functions / Responsibilities:
Support the Head of COS, in coordination with COS Administrative Assistants, with the preparation of documents related to HQ logistical and procurement matters.
Assist with a variety of HQ facility management matters, including building maintenance, ID
badges, meeting and conference logistics, office space and parking requests.
Carryout research to compile information for the preparation of documents.
Undertake analysis to support decision-making.
Coordinate and follow-up with other departments on pending tasks from COS office.
Monitor deadlines and ensure that correspondence and queries are responded to in a timely manner.
Perform such other duties as may be assigned.
Required Qualifications and Experience:
Education
• Graduate school programme (first university degree or equivalent, or higher) in Procurement and Supply Management, or related discipline.
Experience
• Excellent communication skills, both oral and written; ability to draft clearly and concisely.
• Strong analytical skills, particularly in procurement, budget and finance
• Personal commitment, efficiency, flexibility and drive for results
• Demonstrated gender awareness and gender sensitivity
• Ability to work effectively and harmoniously with colleagues from varied cultures and professional backgrounds
• Computer literacy, especially database tools
Languages
• Fluency in English and French are required.

The incumbent will gain exposure to and experience in multiple areas of COS activities, including day-to-day procurement, logistics, building operations and customer services, while interacting with various IOM suppliers and Staff Members.
He/She will also gain in-site experience in working with an international organization.
