Job Responsibilities:

  • Serving as focal point for the TimeClock inquiries from the POEs and processing all necessary changes in the system as required. Assist in providing technical support for POEs in Time Clock system.

  • Assist with Time Management in PRISM; checking the absence records, the Quota Absences, monitoring the accuracy of uncertified leave approvals and the use of the Compensatory time.

  • Assist in monitoring Overtime calculation, verifying Overtime forms received from the POEs

  • Assist in semimonthly payroll preparation in PRISM payroll as well as in Paychex system.

  • Assisting in verifying the hours for the payroll processing received from Sub-offices and maintaining the templates accurate and up to date.

  • Assist in verifying and distributing W2 forms (annual earnings Statements) for IOM USA employees at all Port of Entries.

  • Assist with calculation of the Payroll and Insurance invoices distributions based on sub-office composition and WBS.

  • Assist in preparation of the Personnel Action Forms.

  • Assist in verifying Health Insurance invoices as well as Disability and Life Insurance invoices.

  • Assist in preparation reports for NBL local disability, Multiple Worksite reports, etc. and with the administration of the local Health Insurance policies.

  • Assisting in MSP and CP reports preparation.

  • Assist in maintaining UNJSPF enrollments and documents processing.

  • Assist in verification of information concerning staff members’ eligibility for Family and Language allowances and adjusting benefit amounts according to the latest UN Salary Scale’ requirements.

  • Assist in preparation of 401K monthly reports and semi-annual 401K accumulation reports.

  • Assist in preparation of Yearly Census data for the appropriate local authorities, insurances and 401K third party administrators.

  • Assist staff members with the accessing Lincoln website, with plan procedures, enrollments, loans and distributions to the participants.

  • Assist in updating the HR manuals for non-staff at POEs.

  • Assist with maintaining updated Emergency roaster.

  • Monitor the submission of the evaluations for Consultants, staff on probation period, hourly non-staff at POE after one year of service.

  • Assist in communications with the Speex license provider. Monitor usage of the licenses assigned to the staff at different locations.

Assist with maintaining the roaster for seniority of the staff members in IOM New York and sub-offices. Prepare Certificates of Acknowledgement for staff with 15, 20, 25 etc. years of service.

Experience: 2-4 Years of Work Experience in the fields of human resources and/or participation in humanitarian projects as HR would be an advantage

Education: High School Degree

Languages: Fluency in English
