Context:

Under the overall supervision of the Chief of Mission, Washington, DC, and the direct supervision of the Finance Coordinator, the incumbent will be responsible for the execution of accounting functions for the IOM Washington office as well as USAIM.

Core Functions/Responsibilities:

• Assist in the control and validation of the daily financial transactions of the IOM Washington office.

• Process invoices; prepare accounting reports and forms needed for payment, receipts for deposit, and noncash adjustments.

• Enter the daily financial transactions of IOM Washington in the accounting system (SAP Financials).

• Deposit cash and checks received to respective bank accounts on a timely fashion.

• Compile accounting and financial documents and file the same on a systematic and organized manner.

• Process the monthly/yearly closure of accounts (e.g. bank and cash reconciliations); clear vendor, and suspense accounts.

• Assist in the preparation of monthly accounting returns and ensure that these are submitted to Panama Administrative Center on a timely basis.

• Process expense claims; follow up unliquidated advances/claims.

• Assist in periodic fixed asset counts and reconciliations.

• Assist in the correct implementation of IOM Financial Management Guidelines by applying the required internal control mechanisms.

• Enter the daily financial transactions of USAIM in QuickBooks, compile/file all necessary supporting documents, and assist in the preparation of periodic financial reports.

• In coordination with USAIM staff, record donations made to USAIM in the donor tracking system and prepare corresponding tax-deductible certificate letters to be signed by USAIM authority.

• In coordination with USAIM Supervisor; compile, review and provide information for USAIM’s 990 Form due each year.

• Perform other financial, accounting and administrative duties as may be assigned.

Education and Experience:

• High school diploma or equivalent. Bachelor or Associate degree in Accounting, Commerce, Business Administration or a related discipline an advantage • Minimum of 4 years progressive experience in accounting • High level of computer literacy; thorough knowledge of Microsoft Office applications (i.e., excel, outlook, word, etc) a must. • Knowledge of accounting systems (SAP and QuickBooks) a distinct advantage.

Languages: Fluency in English
